Prices

Five kinds of charge, each varying by who is asking — a local group, a visiting group, a school, the general public, or your own use:

  • Camping is per person, per night. One price for the whole site, whichever field they’re on.
  • Day visitors are per person, per day. The day count is how many days they came, not how long the camp is — six people joining a three-night camp for the Saturday are charged for one day, not three. It shows as its own line under camping.
  • An evening visit is one flat charge for the group, however many turn up. It is its own booking rather than part of somebody else’s, and it is the only charge here that is not per head.
  • Buildings are per building, per night, and can differ from one to the next.
  • Activities are per session, for the session length set on the activity. A group wanting twice as long books two sessions.

To take an evening visit, choose An evening visit when you make the booking. It asks for the evening instead of two dates, and the group gets a field to base themselves on like anybody else. The evening is held on the calendar, so nobody else can be given that field at the same time — which is the point, since a field with a Cub pack on it at eight o’clock is not one you can also put a camp on. There is no camping charge on an evening visit, because nobody slept there.

An empty box means no price set — not free. If a school books the Activity Barn and nobody has set a school rate for it, the booking says its total is short and names what is missing, rather than quietly leaving it off the bill. If something genuinely is free for a band, type 0: that is a decision, and an empty box is an oversight.

Fields aren’t priced individually. The per-person camping rate is what a field earns, and charging both would bill somebody twice for the same ground.

An activity can also charge per person, on top of its per-session price. Set a rate in the box under it marked “+ per person” and it is charged against however many you have put down as attending that session — both charges show as their own line. It is entirely optional: leave that box alone and nothing changes, and an activity that has never used it is never counted as a gap, because it is only ever checked for a session where somebody has actually recorded a headcount.

A minimum charge is a floor under a booking’s whole total, set once for the whole site rather than per band — find it beside VAT and your invoice details. A booking that comes to less than the minimum gets a “minimum charge” line added for the difference, so the breakdown still adds up to the total rather than the total jumping on its own. It never tops up a booking whose price is incomplete, or one with nothing chargeable on it at all.
