Who can do what, and who can see what

Two separate things, and keeping them apart is the point. What somebody does — instructor, warden, caterer — is free text on their staff row and drives the rota. What they can see and change is their access level.

  • Owner — everything, plus the bill and handing the campsite on. A campsite always keeps at least one.
  • Leader — runs the site: bookings, prices, staff, settings, and the team’s personal details.
  • Helper — the day-to-day work. Takes bookings, sees your prices so they can quote one, rings the group leader. Does not see who is in arrears.
  • Viewer — can look, not change. The right level for a weekend warden or an instructor: the calendar, who is on site and the rota, but no money and no contact details. They can still report a maintenance job, because the person who spots a broken gate often has the least access.

Four things can be hidden from somebody who can still see the site: prices, money owed, customer contact details and settings. Each starts wherever their level normally puts it, so most people need no decision at all — and any of them can be switched for one person. A bookkeeper can be a Viewer who sees the money and nothing else.

The diary is never hidden. Knowing who is arriving on Friday is the thing everybody on site needs, so it stays visible to anyone with a login.

Changing somebody to Leader, or away from it, is an owner’s decision — Leaders can see the team’s dates of birth, home addresses and emergency contacts, and the medical details given for people on a course.
