The jobs board, for instructors from outside
If you bring in freelancers, Offers from outside on the Rota page has a link you can share — on a Facebook group, a mailing list, wherever you already find people. It is off until you turn it on.
The board shows what is short over the next four months: the date, the activity, how many instructors are needed, what ticket is wanted and how many people are coming. It never shows who the booking is for, the group’s name, or anything about the people attending. That is enforced in the database rather than hidden on screen — the query behind the board does not fetch those columns, so nothing can leak them.
Somebody offering gives their name, an email, optionally a phone number, and says what they hold in their own words. They do not get an account and never will — there is nothing on that page to make one with.
An offer changes nothing. Accepting is what puts somebody on your staff list, marked as coming from outside, and onto the session — through the same checks as anybody you add by hand, so a clash is still refused and a missing ticket is still flagged.
What they typed is shown as their words, never as a ticket. It is a claim from somebody you have not met. Recording the real qualification, with the expiry date, is still something you do on the Staff page once you have seen it.
Declining emails them nothing — write to them yourself. And you can replace the link whenever you like; the old one stops working immediately, for everyone you have given it to.
The Rota page shows who’s on which days, who’s away, and — at the top — anything running with nobody on it. Switch between Day, Weekend and Week at the top, the same three as the activity schedule and meaning the same thing: a weekend is Friday to Sunday, and a week runs Monday to Sunday.
