What an activity needs
On each activity you can say what it can’t run without — a harness each, one tent between four, two ropes however many come. The schedule then says when a session hasn’t got enough.
It counts everything running at the same hour. Six on abseiling and six on climbing are each fine on their own and between them want twelve harnesses that don’t exist. Nobody notices that until the second group is standing there, which is the whole reason this is worth filling in.
It warns and never refuses. Unlike a double-booked field, which the database itself makes impossible, a kit shortage is a flag you can go ahead past — the visiting school may be bringing its own harnesses, and only you know that.
Kit that is broken, lost, retired or out on loan is not counted as available. A Saturday session can’t be equipped with the chairs that went to the village fête on Friday.
