Qualification reminders

When a staff qualification is heading for its expiry date, we email the campsite’s owners and leaders — not the instructor. Booking a course, covering a session and knowing before you take a booking that depends on it are all the warden’s job, and telling the person who mostly cannot fix it would be telling the wrong person.

Three reminders per qualification: six weeks out, a week out, and on the day it expires. Six weeks because renewing an NGB ticket or a first-aid certificate means finding a course and a free weekend, and a week’s notice is no notice at all for that. Each one is sent once — one message per person however many are due, and no daily nagging.

Renewing resets it. Change the expiry date and the new date gets its own three reminders, so a certificate renewed in March is still chased the following year.

A qualification with no expiry date does not expire and is never chased — which is different from one whose expiry you do not know, and that belongs in the notes. Somebody marked inactive is not chased either.
