The waiting list
When somewhere a group wants is taken, they can join your waiting list from your public page — there’s a link under the calendar, and the enquiry form offers it when the dates they typed are taken. They pick particular fields or buildings, or any field, any building or anywhere, and get an email saying they’re on it. It works whenever your page is taking enquiries; there’s nothing to switch on.
You can add a group yourself, too: when you decline an enquiry, tick Put them on the waiting list for these dates and what they asked for becomes what they’re waiting for.
Who hears, and when. Every fifteen minutes the waiting list is checked against what is actually booked, so it notices a cancellation, changed dates or a field taken off a booking in the same way. When what somebody is waiting for is free for every night they asked for, the longest-waiting group is emailed on its own. If it’s still free 48 hours later, the next group is. Groups waiting for different things are told at the same time. With several fields named, all of them have to be free; with “any field”, one big enough for their party is enough.
Nothing is held. The email tells them it’s free and links to your enquiry form; they ask like anybody else, and you accept as usual. Each group is emailed once. If they miss it and ask to stay on, Put back in the queue on the Enquiries page puts them back in their original place.
The list is at the bottom of Enquiries, in the order groups will be told. Mark an entry Booked or take it off the list. Groups can take themselves off from any of our emails, and an entry closes on its own once its dates have started.
