The trustee board

Most campsites are run by a trustee board, and the board answers for the site: its money, its safety, its buildings and the people on it. The Trustee board group in the menu keeps the board's side of things in one place. It's included in every plan.

Responsibilities lists what a campsite board has to keep on top of, under five headings: money, the law, the site and insurance, risk, and running well. Fire risk assessment, water and legionella, trees, insurance, safeguarding, the budget, the reserves policy and the rest, each with how often it falls due. Record one when it's done and it moves on to the next date. Overdue ones come first; ones nobody has recorded yet are shown apart, so a new board isn't told everything is late. Switch off anything that doesn't apply, with a reason, and add your own, like a lease review.

The board is who's on it: their role, when they were appointed, when their term ends, and whether their eligibility, induction, training and annual review are recorded, with what's missing shown in amber or red. There's a register of conflicts of interest too.

Settings is where the board's year end goes, how the site is run (its own charity, part of a District's or County's, or a small unregistered one), whether it has staff or serves food, how often the board meets, and any limit on years in one role. Every date and which duties apply follow from these, so set them first.

Overview is the board's front page: what needs doing across its pages, and how the site is doing from the rest of Campsite Manager, as counts and totals only: site checks overdue, incidents, jobs, damage, staff tickets out of date, the year's income and Gift Aid to claim.

Who can see it. The owner, and anybody given the Trustee board switch on the Staff page, such as the manager or the treasurer. A trustee who isn't on the staff can be invited to sign in from their entry on the board: add their email and choose Invite them to sign in. They see only the board's pages, never a booking, a customer, a payment or a member of staff: the overview's figures are totals. When somebody leaves the board, their login stops working. The Chair can change the board's settings and invite people, as can a leader with the switch.
