The board's documents and weekly email

Documents keeps the board's records privately, for the board and staff with the Trustee board switch: the governing document, accounts, insurance, the fire risk assessment, deeds and policies. PDFs, photos, Word, Excel and text, up to 10MB each. Give a document a renewal date (an insurance schedule's expiry) and it's flagged as it comes up; give it a “keep until” date and it's flagged as deletable after, though never deleted for you.

A meeting's agenda, minutes and papers can be attached on the meeting's page. They appear in Documents too, and can go with the agenda when you email it: the minutes are left unticked.

The weekly email. Each Monday, the Chair (or the whole board, or nobody: it's in Settings) gets what's overdue or due in the next fortnight: responsibilities, steps of the year, risk reviews, actions, documents to renew and charity obligations, and any red warning about the board. Nothing to say means no email. It goes to the address on each board member's entry.
